Volunteer Coordinator.

Amka Afrika Ltd is an award-winning and dynamic volunteer organization, providing opportunities for volunteers and interns to join us from around the globe on our world class projects. Our passion and focus reaches across social development, conservation and environmental programs based in South Africa, Zambia and Tanzania, including Zanzibar. Location to be confirmed upon application.

As a Manager, your role will have three key focuses. Firstly, to create amazing experiences for volunteers to immerse themselves in a new culture, explore a new place and be part of long term, meaningful volunteer activities. Along with this you will manage relationships with community and conservation partners, so our volunteer and funding efforts create progressive change and impact. Thirdly, it’s important each of our projects are financially sustainable so we can continue to play our part in making the world a little better for the long term.

Roles and Responsibilities

Volunteer and Intern Experience:

  • Welcome new volunteers and interns, creating an impressive first week to get them settled, feel at home and integrate with everyone in the house
  • Prepare volunteers for their volunteer activities from a practical and emotional point of view, and check in with them regularly to ensure their time on projects is going well
  • Ensure interns have learning objectives and activities on project that link to their placement objectives (work alongside intern supervisor)
  • Manage your project team which will consist of knowledgeable local team members and international team members
  • Plan group bookings to ensure logistics and activities are lined up are run smoothly to provide an outstanding experience
  • Engage volunteers on our long-term objectives and how we approach and measure our social development and conservation programs to ensure they are impactful
  • Create an offer of great travel experiences for volunteers at weekends so they see the best of what your location has to offer
  • Manage major issues and incidents, with the support of the Head of Projects when needed
  • Work with Sales and Marketing to ensure our literature and social media platforms are up to date and reflective of our projects so the right expectations are set

 

Project Partnerships and Development

  • Build and nurture important community and conservation partner relationships so we ensure our work is focusing on the right things and making an impact
  • Ensure new projects are planned and approached in a sustainable way that works well with the community and volunteers
  • Continuously look for opportunities to grow the business through expanding the existing projects and developing new ideas e.g. one of our new projects focuses on plastic & waste
  • Learn and work with the local culture and practices and enjoy learning a new language  (or at least some words to get by)

 

Amka Afrika Foundation

Our Foundation is a close partner with Amka Afrika and is there to enhance our impact from volunteer activities by funding skills and physical resources.  Both organizations work towards the same goal – African Impact helps achieve the goal through effort and our Foundation help achieve the goal through funding.

  • Manage and create new Foundation projects with the support of the Project Development Manager from the Foundation Team
  • Work in partnership with the Fundraising Manager to agree fundraising targets and make plans with your teams to meet or exceed targets
  • Track donations from donors, the expenditure of those donations and provide monthly reports to our Amka Afrika Foundation
  • Report progress of Foundation projects by measuring progress and completing a quarterly report
  • Manage your Amka Afrika Foundation Interns to support your work and dreams for your projects
  • Encourage and inspire staff, interns, volunteers and local businesses to get involved with the Foundation through using their influence and contacts

 Finance and Operations

  • Agree budgets and review expenses to ensure they are tracked and controlled tightly by you and the team
  • Manage the cash on the ground and track all expenses
  • Communicate well with the Finance team who are responsible for bank accounts, book keeping & returns, all financial records, staff wages and bill payments
  • Grow your revenue through add on experiences such as tours, merchandise etc
  • Recruit and attract the right team to support your projects and look after our volunteers and partner relationships
  • Manage your team’s performance by setting and monitor objectives as part of regular reviews and updates
  • Ensure African Impact is functioning legally and in-line with labor department’s requirements (this differs in each country) and in line with any company policy
  • Ensure company assets are managed and looked after e.g. vehicles, computers, furniture
  • Attend monthly updates with Head of Projects in the form of a structured report and SKYPE discussions plus bi-weekly catch up

Essential Skills and Experience

  1. Ability to communicate at all levels and with different cultures and backgrounds
  2. Ability to manage people and get the best out of them through encouragement, coaching and clear objectives
  3. Can identify opportunities to develop our projects or create new ones, get them agreed and work with others to bring ideas to life
  4. Financial budgeting and tracking skills are essential
  5. Some volunteering experience or worked in a culturally sensitive environment to understand the dynamics of the local culture and different cultures from our volunteers
  6. Organized, able to juggle tasks and is comfortable to delegate
  7. Work to tight deadlines under pressure and reorganize priorities when needed
  8. Ability to stay calm in the case of incidents and think through logical next steps, communication requirements  and deal with confidential information and  situations
  9. Passion for community development and/or conservation
  10. Confident driver for manual vehicles
